Build vs Buy / Cleaners

What your booking, scheduling, and turnover tools really cost.

Cleaning business software cost adds up quietly: a booking form, a scheduling app, a seat for each cleaner, and add-ons for texts and reminders. Here are the usual tools, a link to each vendor's own pricing, and when a small custom piece on your own site is enough.

Cleaning business software cost is more than one subscription.

When cleaning company owners ask about software cost, the answer is rarely one bill. There is the form customers use to get a price and book. There is the calendar where you assign homes to cleaners. There are reminders for recurring visits, invoices, and follow-ups when someone has not paid. If you clean Airbnb and vacation rentals, there is also the turnover schedule that has to match each host's calendar.

Some tools sell all of that as one platform. Others sell one piece, like the booking form, and expect you to connect the rest. Both approaches can work. The cost question is which pieces you use, how the price grows when you add cleaners, and whether you pay two tools for the same job.

This page is my honest take on the cleaning software stack. I list common tools for residential and turnover cleaning, link each vendor's own pricing page, and say when buying is the better call. I build small custom tools, so I have a stake in this. That is why the table says what each tool does well, and why there is a list of reasons to keep buying, especially if your team is growing.

01 / THE USUAL STACK

Booking and scheduling tools cleaning companies pay for

ZenMaid, Jobber, BookingKoala, and Automaid are common picks for residential cleaning. Turno is here because it is built around short-term rental turnovers, which many cleaning companies also handle.

Prices checked on October 8, 2026 from each vendor's public pricing page. Prices change, so confirm on the vendor's site.

02 / WHERE THE MONEY GOES

Places a cleaning company can overpay.

None of these mean a tool is bad. They are the places worth checking before the next renewal or the next hire.

A price that grows with every cleaner

Some plans charge by user, by provider, or by team size. That is fair for software your whole team opens every day. It is worth checking if some of those seats belong to part-time cleaners who only need to see their schedule for the week.

Two tools for one booking

Some companies pay one tool for the quote and booking form on the website and another for scheduling and invoicing. If both tools can take bookings, you may be paying twice for the same step, and copying details from one to the other by hand.

Add-ons for texts and reminders

Text messages, review requests, marketing emails, and extra storage are sometimes sold as add-ons or bundles on top of the plan. Check which ones you turned on, and whether anyone looks at what they send.

A higher tier for one feature

Plans come in tiers. If you moved up a tier for one thing, like automatic card charging or a referral feature, ask whether a lower plan plus a small custom piece covers that one need.

Turnovers tracked by hand

If you clean rentals for several hosts, someone may be checking each host's calendar and retyping checkouts into your schedule. That time is a cost too, even if no invoice shows it.

03 / KEEP BUYING

What to keep paying for.

  • Payments and card storage

Charging cards, saving a card on file for recurring visits, refunds, and chargebacks come with PCI rules and fraud checks. Keep them with Stripe, Square, or the payment provider inside your platform. I do not build payment processing or store card numbers.

  • Payroll and contractor pay

Paying cleaners, tracking hours, tips, and tax forms follow rules that change. Use a payroll provider.

  • Insurance and bonding

Liability insurance and bonding are services, not software. A custom tool can store the certificate a client asks for, but the coverage comes from your insurer.

  • Text message sending

Sending texts to customers depends on carrier rules and registration. Even a custom reminder tool sends through a texting provider you pay, and I name it in the proposal.

  • Accounting

Your books and tax filing belong in accounting software your bookkeeper knows. Custom tools should send data there, not replace it.

04 / WORTH BUILDING

What can make sense to build.

  • A quote and booking form on your own site

A form that asks about bedrooms, bathrooms, pets, extras, and frequency, then shows a price using your rules. The booking lands in the calendar you already use, and payment goes through your payment provider's checkout.

  • Recurring visit reminders

A short text or email the day before each weekly, biweekly, or monthly clean, with the time window and a way to reschedule. Sent through a texting provider, with the wording you choose.

  • Invoice chasing

Polite reminders on a schedule you set when an invoice is still open, and a note to you when it is time to call. The invoice and the payment link still come from your payment or accounting tool.

  • Turnover schedules from rental calendars

If a host can share a calendar link from Airbnb or another rental site, a small tool can read it and add each checkout to your cleaning schedule. I check how often each link updates before anyone relies on it, and a person still reviews same-day changes.

05 / WHEN TO BUY

When one solid platform is the better call.

A custom booking form is not always the answer. A platform may fit better when:

  • Your team is growing and you want scheduling, checklists, time tracking, payments, and a mobile app for cleaners in one place.
  • You run several crews or service areas and need one dashboard, one login, and one support line.
  • Your cleaners already use the app every day and like it. Switching means retraining, and that has a real cost.
  • Nobody on your team wants to own a custom tool, even a small one, and you would rather a vendor fix things.
  • Most of your work comes from a rental marketplace, and the hosts already book and pay you there.
  • Your current setup works, the price fits, and switching would take attention you need for a busy season. Doing nothing is a fine answer.
06 / WORKED EXAMPLE

An example, not a quote.

A made-up cleaning company, to show how I compare options. It is not a typical bill. Every vendor price below comes from the table above, which comes from each vendor's own pricing page.

Assumptions

  • An owner plus a few part-time cleaners, mostly recurring residential cleans and some Airbnb turnovers for three local hosts.
  • Today the company pays one tool for the booking form on its website and another for scheduling and invoicing.
  • Cleaners mainly need to see where they are going each day. The owner does the scheduling.
  • Card payments already run through a payment provider the owner wants to keep.

Option A: one cleaning platform for everything

Move booking, scheduling, reminders, and invoicing onto one platform, for example ZenMaid or Jobber, and drop the separate booking form tool.

Cleaning platform
ZenMaid ZenMaid Pro: $39/monthCheck how the price changes per cleaner, and which plan includes text reminders.
Or a home service platform
Jobber Connect: $139/mo no commitmentCheck how many users each plan includes and the cost of each extra user.
Turnover scheduling
Turno Marketplace & Non-Turno Teammates: $10 USD per property billed monthlyOnly if the hosts want to manage cleanings there. Check how hosts and cleaners are each billed.

Option B: keep the scheduler, build the booking form

Keep the scheduling and invoicing tool the team knows. Replace the separate booking form tool with a custom quote and booking form on the company's own site, plus a small turnover sync.

Booking form tool you pay for now
BookingKoala Growing: $57 USD/moAn example of a booking form tool. BookingKoala does more than forms, so if you use its scheduling side too, this option may not fit.
Build
One fixed price, agreed before work starts. It depends on your pricing rules, extras, and how many calendars to sync.
Hosting and texting
I name the host, the texting provider, and the yearly cost in the proposal, before you decide.
Upkeep
Price rule changes by you, or a monthly fee to me. Either way, the yearly cost is written down first.

Option C: keep what you have

If the current setup works and the price fits, renew it. Just confirm you are on the right plan for your team size.

Current plans
Check the plan names, per-cleaner charges, add-ons, and renewal dates against each vendor's pricing page.

No option wins by default. The point is to put the same company's costs side by side: monthly fees at your real team size, add-ons you actually use, setup time, and who keeps the price rules up to date. On a free intro call, we can do this with your actual bills.

07 / FAQ

Cleaning business software questions, answered.

How much does cleaning business software cost?

It depends on the plan, how many cleaners you add, and which add-ons you turn on. The table on this page links each vendor's pricing page, so you can check the plan, per-user or per-provider charges, and text message costs. For a custom piece, like a booking form, I give one fixed price before work starts.

Is there a cheaper ZenMaid alternative for a small cleaning company?

Maybe, but cheaper is not the only test. ZenMaid is built for maid services, and its plans may already fit a small team. Compare your plan on its pricing page with what you actually use. If you only need a booking form and reminders, a smaller setup may cover it. If your cleaners use the app every day, staying put is often the right call.

What is the best booking software for a cleaning business?

The one your customers find easy and your team keeps up to date. A solo cleaner may only need a booking form and a calendar. A company with several crews is often better served by one platform with scheduling, checklists, and a cleaner app. I do not sell any of these tools, so I can help you compare them against your own week.

Can a custom cleaning quote form price homes the way I do?

Yes, if you can explain your rules. Bedrooms, bathrooms, square footage ranges, pets, deep clean or move-out extras, and discounts for recurring visits can all be set up. If you quote some homes only after a walkthrough, the form can collect the details and ask for a visit instead of showing a price.

Can you sync Airbnb turnover cleanings into my schedule?

Often, yes. If each host can share a calendar link, a small tool can read checkouts and add turnover cleans to your schedule. Calendar links are not instant, so I check how often they update, and you still confirm last-minute changes. If the hosts already book you through a turnover app, that may be simpler.

Will a custom cleaning booking form store client card numbers?

No. Cards on file for recurring cleans stay with your payment provider, which handles the security rules, refunds, and chargebacks. The form sends customers to that provider's checkout or saves a reference the provider gives back, never the card number itself.

When should my cleaning company stay on one platform?

When the team is growing, cleaners rely on the mobile app, and you want one support line when something breaks. A single solid platform is easier to train on and easier to hand to an office manager. Custom pieces make the most sense around the edges, not as a replacement for a platform your crew depends on.

What should I check before canceling my cleaning software?

Your renewal date and any annual billing, whether you can export clients, recurring schedules, and notes, where saved cards live and whether they move with you, and which reminders stop when the account closes. If getting your data or cards out is hard, that counts against switching.
